• Device and browser information for service optimization

2. How We Use Your Information

We use the information we collect to provide and improve our transcription and guide generation services, authenticate your identity, communicate service updates, respond to support requests, and ensure the security of our platform. Your uploaded files are processed solely to deliver the transcription and content generation services you request.

3. Cookies & Tracking

We use essential cookies required for authentication and session management. We may use analytics tools to understand how our service is used and to improve performance. We do not sell your data to advertisers or use tracking for targeted advertising.

We rely on trusted third-party providers to deliver our services:

• Clerk — Authentication and user management
• Vercel — Application hosting and file storage
• Neon — Database hosting (PostgreSQL)
• Gladia — Audio and video transcription processing
• OpenAI — AI content generation (guides, SOPs, checklists)

Each provider processes data in accordance with their own privacy policies and our data processing agreements.

5. Data Security

We implement industry-standard security measures including encrypted data transmission (TLS), secure authentication, and access controls. Files are stored in encrypted cloud storage. While no system is 100% secure, we take reasonable precautions to protect your data.

6. Data Retention

We retain your account information for as long as your account is active. Uploaded files, transcriptions, and generated content are stored until you delete them or close your account. Upon account deletion, we remove your data within 30 days, except where retention is required by law.

7. Your Rights

You have the right to access, correct, or delete your personal data. You can download your transcriptions and guides at any time. To request data deletion or exercise other privacy rights, contact us at the email below. We will respond to requests within 30 days.

8. Children's Privacy

UtterNote is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

We may update this privacy policy from time to time. We will notify you of significant changes by posting a notice on our website or sending an email. Continued use of UtterNote after changes constitutes acceptance of the updated policy.
